Job Description:
As the Executive Assistant to the JMD, you will play a critical role in ensuring the smooth operation of the executive office. You will be responsible for providing high-level administrative support, managing the JMD’s schedule, coordinating meetings, and handling sensitive and confidential information. This position requires a proactive, organized, and detail-oriented individual who can anticipate the needs of the JMD and work independently to achieve organizational goals.
Key Responsibilities:
1. Administrative Support:
- Manage and maintain the JMD’s calendar, including scheduling appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle incoming and outgoing communications on behalf of the JMD, including emails, phone calls, and mail.
- Organize and coordinate internal and external meetings, including logistics, agendas, and follow-up actions.
2. Project Management:
- Assist in the planning and execution of special projects and initiatives as directed by the JMD.
- Conduct research and compile information for reports, presentations, and strategic planning.
- Track and monitor project progress, ensuring deadlines are met and deliverables are completed.
3. Relationship Management:
- Serve as a liaison between the JMD and internal staff, clients, and external partners.
- Build and maintain positive relationships with key stakeholders.
- Coordinate and attend meetings, taking notes and providing summaries as needed.
4. Office Management:
- Oversee the organization and maintenance of the executive office.
- Manage office supplies, equipment, and facilities for the executive office.
- Coordinate with IT and other departments to ensure the JMD has the necessary resources and tools.
5. Confidentiality and Discretion:
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Ensure compliance with company policies and procedures related to confidentiality and data protection.
Skills:
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to work independently and as part of a team in a fast-paced environment.
- High level of professionalism, integrity, and discretion.
